Your data, in plain English
The short version: your leads stay in your CRM. Ervona reads the record on your screen to write the email, right there in your browser. It doesn't copy your lead list anywhere.
The only lead data we ever store is opt-in, and you can delete it in one click.
What we store (tied to your account)
- Your email address: it's your login.
- Your settings, templates, and CRM mapping: so your setup follows you between computers.
- Your plan and usage counts: to run your daily limits.
- While reporting is on (on by default): each tracked email's recipient address and subject line, plus its open/reply timestamps. That's what your reports are made of. Turn it off, and delete it, anytime from the reports page.
- If you connect a mailbox: the one-to-one email you send from it yourself, as an outline only. Recipient address, subject line, time sent. Never the body. That's what gives your own emails a reply rate. Mail to more than one person, replies, forwards, no-reply addresses, and anything sent to a domain you've put in the "Internal domains" and "Partner domains" boxes in your inbox settings is skipped entirely: no record that it happened. Those two boxes start empty and they're what the check reads, so fill them in the day you connect the mailbox. Stops when you disconnect the mailbox, and the same Delete button clears it.
About the tracking image
An open is counted by a tiny invisible image in the email. It can only get in there while the email is being written, so:
- Gets one: emails the extension sends for you, and emails you write in the Salesforce console, once reporting is on. Also emails you write in Gmail or Outlook on the web, but only if you turned that on in the extension's settings and let Chrome grant it.
- Only if you ask: Ervona Desk campaigns. Each campaign has its own "count opens" switch and it starts off. Leave it off and the email goes out as plain text with nothing in it.
- Never: email you send from Outlook on your desktop, Apple Mail, or your phone. Nothing can add to an email that's already gone, so those can show a reply but never an open.
What we never do
- Never copy or export your lead list, unless you run Ervona Desk, which stores the leads for the campaigns it works.
- Never sell your data. Never use it for ads.
- Never email anyone marked "don't contact" in your CRM.
Deleting things
- Report data: reports page → Delete. Past hour up to all time, gone for good.
- Your whole account: ervona.ai/account → Delete account. Everything tied to it goes with it.
